Workplace Manager - Chicago

The Workplace team provides support for every employee at Adyen, from creating a welcoming experience upon entry in all of our global offices, to designing, building and maintaining comfortable, inclusive, work environments across the globe. This person will take on the primary responsibility for overseeing the employee and guest facing responsibilities for our Chicago office. This role will be responsible for owning the daily workplace experience for our Chicago location, managing all daily site-related building issues, and managing our external service providers, including coffee service, daily catering, and custodial. In addition, the Workplace team, working closely with our Global Events team, supports and facilitates CHI internal events, and works closely with both IT and the Onboarding team to create a smooth operational experience for all Adyen team members from Day 1. You will work with globally-based, cross-functional teams to support the Adyen vision, and strong partnership, communication, and customer service skills are crucial for this role. We are the internal brand ambassadors responsible for creating the best possible Adyen experience in our offices for all employees, guests, and clients.

What you’ll achieve

  • Manage/oversee all Workplace operations within the office including building operations, office planning, FOH experience, contracted service providers, catering, event support, custodial, all MAC (moves, adds, changes).  
  • Work closely with on-site leadership and partner with team leaders to ensure that the ongoing and changing needs of the teams are being met.
  • Communicate and partner with on-site leadership/business leaders to understand business goals and drive impact with a proactive solutions based mindset.
  • Partner with the Workplace project team to manage all moves, adds, changes and construction projects on a local level, ensuring needs are met as we continue to grow.
  • Work closely with IT, Onboarding, Events, Marketing, HR, and other teams to make sure that all teams are aligned on needs, changes, growth, and vibe in the office.
  • Manage reception experience and access for a wide variety of visitor experiences, including candidate interviews, client visits, and global visitors.
  • Maintain strong communication and relationships with landlord and property management, being the point person for all building-related contact with coordinating all maintenance, repairs, and documentation as needed.
  • Work closely with the Regional Team Manager and other NA and LATAM workplace managers to understand and support all regional workplace needs and create a seamless experience between office experiences.
  • Management of workplace and real estate related costs to ensure Adyen money is being spent wisely.
  • Work with Security and IT to ensure that we are up to date and compliant in all areas of on site security management including emergency preparedness and visitor management.
  • Develop and implement activities that promote employee engagement and improve their ability to collaborate.

About you

  • 5+ years working in an office management and/or facilities role
  • Ability to make strategic decisions in a fast paced dynamic environment
  • Problem solver with the ability to organize multiple priorities, tasks and requests.
  • Strong partnership skills, ability to communicate effectively with the Adyen population at all levels of the organization
  • Strong project management skills and ability to manage multiple projects simultaneously
  • Strong communication skills
