About the role:

We are a dynamic, solution-driven Facilities Management team with high-quality service at the forefront of everything we do. The Facilities team creates and provides our people with an engaging workplace experience. An exciting opportunity has arisen for a Receptionist to join the Southampton team.

We are looking for a receptionist with a corporate background. The ideal candidate will be a team player, with great organisational skills, dedicated and committed to making a positive impact on our office environment and providing our people with a first class service.

Your responsibilities will include:

    • Provide a warm courteous and prompt welcome on arrival for all employees and visitors at the reception desk.
    • Handle all incoming telephone calls / enquiries promptly giving a warm, courteous welcome.
    • Aid with meeting room bookings as required and liaise with relevant parties to ensure the delivery of a professional service.
    • Liaise and communicate with the Facilities team members and other service departments in a clear and timely manner to ensure service delivery and team work.
    • Carry out regular checks of the meeting rooms on site to ensure correct set up and readiness for use, including rearranging furniture and room layouts as required.
    • Ensure the Facilities Manager is made aware of any maintenance issues requiring attention in the reception area and office.
    • Maintain an organised and tidy work area – this is to include the front desk, seating area, meeting rooms and kitchen areas.
    • To anticipate people's needs, follow up with requests and ensure the expectations are not only met but exceeded.
    • Communicate visitor arrivals to the relevant people promptly and that the visitor is either met or escorted to the relevant room in a timely fashion.
    • Make certain that waiting visitors are kept informed and ensure visitor comfort.
    • Replenish meeting rooms, as required, with pads, pens and pencils, and refreshments.

You will work shifts between 8am - 5:30pm Monday - Friday and be required in the office 5 days a week.

Requirements
  • Experience as a Receptionist in a corporate environment is desirable.
  • Approachable and enthusiastic, with close attention to detail, ability to juggle a range of tasks in a frontline role and first class customer service skills
  • Comfortable working within a fast paced and varied role at the heart of our business with a can do attitude, who is flexible, professional and proactive.
  • Effective communication abilities
  • Can operate calmly under pressure with a strong customer focus.      
  • Able to demonstrate a professional and organised approach to the role.
  •   Logical thinker, able to spot errors and resolve queries.
