What You'll Do
As an office operations assistant you will provide hands-on, real-time support for all facilities related activities. You will ensure our office environment is clean, well-run, safe, well maintained and an exciting place to work for Flatiron employees and visitors. In addition you'll also:
Support our London office with administrative tasks and office management responsibilities. Some of your key responsibilities will include:

  • Conduct routine orientation and maintain secure access (and reporting) for our London office including direct connections with building management
  • Ensure a safety and health-code compliant work environment
  • Manage facilities-specific activities including mail delivery and receipt, supplies management, special event support, and daily maintenance for kitchen, bath and shared spaces (inclusive of engaging third-party and building maintenance experts as needed)
  • Coordinate office suppliers, manage routine transactions, and oversee quality services for daily snacks, weekly lunch, monthly Connection Days, and special employee experiences
  • Attend to requests through office ticketing platform and Slack channel
  • Serve as first point of contact for landlord, maintenance, and visitor requests, log requests, and determine path to resolution
  • Work with cross-functional teams for co-owned tasks and activities involving facilities (such as Employee Experience, Procurement, IT, and Communications)


Who You Are
You're a kind, passionate and collaborative problem-solver who values the opportunity to think beyond the way things are. You're a resourceful troubleshooter with 2-6 years of experience in an office management or facilities oversight function within a fast-paced environment. In addition:

  • You are proficient in Google Suite
  • You have a proven ability to proactively and efficiently respond to changing priorities
  • You have excellent organizational skills
  • You are a professional communicator with strong writing skills
  • You are fluent in English


Optional

  • You have experience in a startup or hyper-growth organization
  • You have experience managing office-based projects


Where You'll Work
In this office-based role, you'll be expected to work from our London office Monday through Friday, from 8:30 AM to 4:30 PM GMT.
