The Role
The Office and People Operations Coordinator is a unique opportunity to take a pivotal role directly supporting the European MD and combining office management, employee engagement, and HR support responsibilities to ensure a well-functioning, welcoming, and people-centered workplace. This position will work closely with cross-functional teams, supporting management, and external partners to foster a positive company culture and smooth day-to-day operations.
What You'll Do
Office Management

  • Support our Managing Director and SVP Strategic Partnerships, Europe in coordinating and executing his roles and responsibilities - travel both local and international: booking and coordination of flights, accommodation, and expense management; diary management, gatekeeping (context changing - allowing time between meetings, time for thinking), and setting up systems.)
  • Manage the cultural calendar and coordinate company events, including promoting initiatives within the building.
  • Oversee internal office communications to keep employees informed and engaged.
  • Coordinate and lead the office/culture committee to promote a vibrant workplace environment.
  • Plan and manage celebrations for employee birthdays, anniversaries, and significant life events.
  • Gather, review, and report employee feedback regularly to identify and work with the Senior People Partner on implementing workplace improvement
  • Act as the point of contact for building management on issues such as health & safety, printers and Wi-Fi maintenance, and parcel pickups.
  • Maintain an up-to-date inventory of IT equipment in line with the company's procurement policy.
  • Order and maintain stock of office supplies and snacks, ensuring the office is fully equipped at all times.


HR/Recruitment Support

  • Schedule and coordinate interviews with candidates, ensuring a smooth recruitment process.
  • Handle face-to-face interview logistics, including booking rooms and greeting candidates.
  • Manage candidate feedback loops and ensure proper documentation.
  • Plan and schedule onboarding training sessions for new hires.
  • Conduct reference and DBS checks as required for new hires.
  • Provide comprehensive support for new joiners, including IT setup, office passes and Wi-Fi access
  • Assist in benefits administration, including tracking sickness, managing eyecare vouchers, and overseeing accounts such as Deliveroo for Business.
  • Organize and support "Lunch & Learn" sessions to promote team learning and development.
