About the role

The Talent Specialist will provide essential support to the HR function across the EMEA region, focusing on recruitment, HRIS administration, and assisting with performance management activities. In this service-oriented role, the Talent Specialist will collaborate with managers and employees to ensure the smooth execution of key HR processes while maintaining efficient and effective HR practices.

What you’ll do in the role

Talent Acquisition:

Assist with all recruitment activities for assigned roles once the HR Manager validates the need, including:

  • Sourcing, screening, and interviewing candidates in collaboration with hiring managers
  • Drafting and posting job advertisements externally
  • Preparing and submitting job offer proposals for HR Manager approval
  • Preparing and issuing employment contracts for successful candidates
  • Ensuring job descriptions are up-to-date and compliant, reflecting any changes to the employee base (new hires, promotions, terminations)
  • Monitor and support recruitment KPIs, including regulatory compliance
  • Managing internal communication about new starters ensuring that relevant teams and departments are informed about new hires, their start dates, and any relevant onboarding details

HR Performance Cycle:

Support the HR Manager in executing the Helen of Troy Performance Management cycle, including:

  • Assisting with annual reviews, goal-setting, and merit-based compensation processes
  • Coordinating and communicating performance management activities and schedules
  • Providing guidance and support to employees and managers on completing performance reviews, development planning, and setting objectives in Workday
  • Administering internal communications and preparing reports related to performance management
  • Identifying opportunities to streamline internal processes and improve service efficiency

Onboarding:

Assist with the onboarding process by:

  • Coordinating induction activities and working with line managers to ensure smooth integration of new hires
  • Managing onboarding documentation and ensuring it is current in Workday
  • Facilitating integration interviews and providing feedback to line managers to improve onboarding effectiveness
  • Organizing group induction sessions with senior leadership
  • Carrying out HR probation review meetings with employees

Training & Development:

Support the HR Talent Manager by:

  • Assisting with identifying training needs across teams and departments
  • Coordinating training requests, drafting training agreements, and tracking approvals
  • Assisting with training session logistics and acting as a facilitator where needed
  • Ensuring employees are scheduled for required training in a timely manner

Employee Exit and Reference Letters:

Manage exit processes for employees leaving the organization, including:

  • Formally acknowledging resignations
  • Ensuring smooth offboarding, conducting exit interviews, and collecting feedback
  • Preparing and issuing reference letters for departing employees as per company guidelines
  • Coordinating with line managers and HR to ensure all exit procedures are completed in compliance with internal policies and relevant regulations

Ad Hoc HR Support:

Provide general HR support as needed, including:

  • Assisting with special HR Talent projects and initiatives
  • Contributing to process improvement and efficiency efforts within the HR department
  • Maintaining accurate reporting and assisting with data collection for HR projects
  • Liaising with HR Admin Coordinator for payroll purposes for new starters and leavers

What will help you do the job well

🗝 Essential:

  • 2-3 years HR administration experience within an international environment.
  • Recruiting experience is essential, training coordination experience is a plus
  • Proficiency in MS Office applications (Excel, Word, PowerPoint)
  • Experience working with an integrated HRIS (Workday experience is beneficial)
  • Fluent in English (spoken and written), French a plus.
