The Executive Assistant to the CEO provides high-level administrative support to Executive Leadership Team (ELT). The role involves managing the ELT's schedules, coordinating internal and external meetings, and performing various administrative tasks. The ideal candidate is highly organized, proactive, has strong communication skills and is capable of handling sensitive information with discretion.
Key Responsibilities
Administrative Support

Manage the calendars of the ELT members, schedule appointments, and coordinate meetings, ensuring efficient time management.

Prepare and organize meeting agendas, materials, and presentations.

Handle travel arrangements, including flight bookings, accommodation bookings , and transfers.
Communication

Stakeholders. - Screen and direct phone calls, emails, and other correspondence.

Draft, edit, and proofread documents, reports, and presentations.
Meeting Coordination

Organize and facilitate meetings

Record and distribute meeting minutes and follow up on action items.

Ensure all logistical aspects of meetings are arranged, including venue setup and catering.
Confidentiality and Discretion

Handle sensitive information with the utmost confidentiality and professionalism.

Maintain secure and organized filing systems for documents and records.
Office Management

Liaise with other departments to ensure smooth workflow and communication.
Skills
