Background:
We are seeking an Administrative Business Partner to support the Aladdin Product Engineering organization, based in London.
Summary:
The Aladdin Product Engineering organization is seeking an Administrative Business Partner to support senior leaders within the team. We are looking for a great teammate with a positive, proactive attitude who is deeply motivated and able to thrive in a busy working environment with senior leaders, scale across large teams, and partner with other administrative professionals.
Key Responsibilities
- Demonstrate thoughtful management of team members’ time against priorities and ensure that they are prepared for meetings, including anticipating conflicts and making recommendations regarding calendar prioritization, delegation, and organization.
- Arrange and oversee travel (flights, hotels, cars, etc.) using Concur and anticipate any necessary background materials needed in advance of their meetings, i.e., detailed travel itinerary, directions and verified meeting/contact details.
- Ability to demonstrate flexibility and problem-solving skills to adjust and prioritize schedules based on last-minute changes.
- Drive key deliverables and open items to completion, adeptly managing complex and high-volume calendars and providing strategic calendar management support.
- Serve as the main point of contact for external visitors and coordinate with operational teams to ensure compliance with security protocol/procedures.
- Ability to handle sensitive matters with a high level of confidentiality and discretion.
- Understanding the team’s priorities and strategies and optimizing your role in administration to support these goals.
- Partner closely with leads and COO to organize and handle logistics for internal/external meetings, team events, strategy sessions, and town halls.
- Build and maintain good business relationships with executives and administrative staff across the organization.
Skills & Qualifications:
- A minimum of 2-4 years of relevant administrative experience.
- The ability to be forward thinking: identify what needs to be done and act before being asked.
- Excellent communication skills (written and verbal) and a high-level of emotional intelligence.
- A strong proficiency in Microsoft office and collaboration tools; a curiosity in new technology.
- A proactive mindset, capable of identifying operational efficiency and implementing new procedures, approaches, and technology to make improvements across the team.
- Absolute discretion and appropriate handling of highly sensitive and confidential information alongside demonstrating the highest standard of conduct, performance, and business ethics.
- Proficiency working with automated expense tracking and online travel; experience using Concur preferred.
- Communicates with a can-do attitude, while remaining agile and flexible to understanding priorities and demonstrating the ability to stay composed under pressure.
